Access & approvals
Visitor decisions, resident responses and account access.
Can a guard let someone in without a resident's approval?
No. Ordinary entry requires an approval from a verified resident of the destination flat (or a resident-issued guest pass), and the server checks it before entry is recorded. The only exception is an emergency override, which is limited to roles your community authorises, needs a reason and an incident reference, alerts management and is reviewed afterwards.
What happens if the resident doesn't respond?
Each request has an approval window (15 minutes by default, configurable per community). If nobody approves in time the request expires and the visitor cannot be admitted through the normal flow. The guard can register a new request if needed.
How do residents join?
Your management sends invitations (or bulk-imports a resident list). Residents sign in with the verified email the invitation was sent to, and their access starts only after management verifies occupancy.
Can one person be both a resident and a guard?
Yes. A person can hold several roles (for example a supervisor at one site and a resident at another). The app asks which role to use, and permissions are always checked on the server for the selected role.
Privacy & security
Photos, personal data and support access.
Who can see visitor photos?
Only verified residents of the flat being visited and guards on duty at that community. Photos are delivered through private links that expire within minutes, are never attached to notifications or emails, and are deleted after the retention period (30 days by default).
How is our data protected under Indian privacy law?
Gateora is designed around the Digital Personal Data Protection Act, 2023: purpose-limited collection, visitor notices at the gate, retention schedules, access and erasure workflows, and a grievance contact. Your organisation is the data fiduciary for residents' and visitors' data; we act as your processor.
Can Gateora staff see our residents or visitors?
Not by default. Support access must be requested by us and approved by your organisation's owner, is limited in time, shows only operational counts — never residents, visitors or photos — and every access is logged.
Product & billing
Offline mode, languages and payment continuity.
Does Gateora work when the internet is down?
Communities on a plan with offline gate mode can enable it. While online, the guard's device receives signed single-use passes for already-approved visitors; if the network drops, those visitors can still be checked in and the records reconcile automatically when connectivity returns. New approvals always need a connection.
Which languages are supported?
The mobile app supports English, Hindi and Odia. The management console is in English.
What happens if our payment fails?
You get a 14-day grace period. After that, adding new communities, flats or staff is paused until payment is resolved — but gates, approvals, entry and exit keep working and no data is deleted.
